Data Processing Operation: “POEMS Stakeholders Database”

 Introduction 

 

POEMS – the Portuguese Competence Centre in Semiconductors – is a project supported by the Chips Joint Undertaking and its members, including top-up funding by FCT – Fundação para a Ciência e a Tecnologia, I.P. This cutting-edge initiative,framed under the Chips for Europe, directly addresses the critical needs outlined in Axis 1 of the National Semiconductor Strategy, targeting capacity building and key technological advancements. This strategic alignment aims to catapult Portugal to the forefront of semiconductor innovation and production, specifically focusing on microelectronics and semiconductors, pivotal for elevating the existing industrial and technological capacities to meet the key global challenges. Focusing on the strategic areas of chip design, advanced packaging, and emerging semiconductor technologies, POEMS leverages the diverse expertise of its 16 consortium partners, including leading research and academic institutions, that bring specialised training resources and cutting-edge capabilities. The consortium as whole is perfectly aligned to overcome the technological challenges in these domains, propelling Portugal towards a leadership position in the European semiconductor industry.

 Purpose 

 

The purpose of this data processing operation is the engagement of the POEMS stakeholders by the subscription of newsletters; publications and events announcements; registration in events; dissemination of the POEMS activities; information about the POEMS project, services, and contests; to promote innovation and technology transfer; to send survey forms and other communications activities related to the project. POEMS may be required to use information for specific communication and publicizing activities, such as pictures or audio-visual material, registration lists, winners of specific prizes, etc., in accordance with rules laid down in grant agreements with funding entities, and in accordance with the applicable data protection regulations.

 

 Description of the data processing operation 

 

The personal data processed in this operation is stored in a database of the POEMS Consortium named “POEMS Stakeholders Database”.

 

 Data Processed 

 

The data processed, including personal data, may contain the following: complete name, place of work, department and position held, e-mail address, age, gender, country, ID type and ID number, photographs, images and audio caught in video and/or audio recordings

 

 Time image, audio release and grant of rights 

 

The acknowledgment and acceptance of this document allows the POEMS Consortium to use the photographs featuring the personal data subject, as well as any images and audio of the personal data subject caught in video recordings and/or photographs, including to record or broadcast (or both) and live or as-live broadcast, in whole or in part, through any means, whether in written form, audio-visual, electronic and digital means, including live streaming for the purposes of project communication and dissemination related to the POEMS events. The grant of rights expressed herein is for an unlimited period of time and without any consideration being received in return.

 

 Controller of the Processing Operation 

 

The POEMS Coordinator, THE INTERNATIONAL IBERIAN NANOTECHNOLOGY LABORATORY (INL) is responsible for the management of the data processed under this operation.

 

 Legal Basis 

 

The legal basis for the processing of personal data under this operation is the consent.

 

 Security Measures 

 

The POEMSConsortium shall ensure that it has in place appropriate technical and organisational measures to protect against unauthorised or unlawful processing of Personal Data and against accidental loss or destruction of, or damage to, personal data, appropriate to the harm that might result from the unauthorised or unlawful processing or accidental loss, destruction or damage and the nature of the data to be protected, having regard to the state of technological development and the cost of implementing any measures.

 

 Recipients of the data 

 

The POEMS Consortium will have access to the personal data, as well as the project´s contractors and, if requested, the Program Managing Authorities ( DIGITAL EUROPE PROGRAMMEand FCT).

Contractors are defined as service providers engaged by the POEMS Consortium to perform specific tasks related to the execution of the POEMS Project. Contractors shall have access to personal data on a specific need-to-know basis, they shall be made aware of this privacy statement, and they shall undertake obligations no less onerous than those contained in this statement.

Personal data will not be used for other purposes than those described above. Except for the situations referred to in the previous paragraphs they will not be disclosed to any third parties.

 

 Legality of processing 

 

Processing is necessary for the performance of the tasks carried out on POEMS Project, under Grant Agreement nº 101217646. The processing of personal data is required to contact and receive information regarding the activities developed by the POEMS Project, as well as to register in the POEMS events. Therefore, not providing the required personal data or not accepting the privacy statement concerning this data processing operation will render it impossible to register, submit or receive information regarding said activities. In accordance with the Regulation UE no. 2016/679 (General Data Protection Regulation), where applicable, as well as any other legislation or regulatory requirements in force from time to time which apply to each Party relating to the use of personal data, the POEMS Consortium assures that the personal data obtained from your submission will be incorporated into a record, property of the POEMS Consortium, having implemented all security measures.

 

 Provision, access and rectification of the data 

 

Each person has the right to access his or her own personal data and the right to correct any inaccurate or incomplete personal data, as well as to request the removal of his or her personal data, which will be implemented within 10 working days after your specific request be deemed legitimate.  Time limit for storing data 

 

Records shall be retained for a period of up 5 years after the project is terminated, or until the request for removing the personal data from our database.
